Report Desk ("we", "our", "us") provides a reporting tool that allows customers to report issues with unattended machines (such as self-service car washes, arcades, or similar equipment) via QR codes, and allows operators to receive and manage those reports.

This Privacy Policy explains what data we collect, how we use it, and your rights.

2. Information We Collect

a) Information submitted by users

When someone submits an issue report, we may collect:

  • A description of the issue
  • The machine or location associated with the report
  • Optional contact information (such as email, if provided)
  • Optional photos or attachments

Submitting personal information is optional unless explicitly requested in the form.

b) Operator information

If you are an operator using Report Desk, we may collect:

  • Name
  • Email address
  • Location or machine identifiers
  • Account and usage information

c) Technical data

We may automatically collect limited technical data such as timestamp of reports and basic device or browser information. This data is used only to operate and improve the service.

3. How We Use Information

We use collected information to:

  • Deliver issue reports to the relevant machine operator
  • Allow operators to track, manage, and resolve reported issues
  • Improve the reliability and usability of Report Desk
  • Communicate with operators about their account or the service

We do not use reports for advertising or marketing purposes.

4. Who Can See the Reports

  • Issue reports are visible only to the relevant operator and authorized personnel managing that location.
  • We do not publicly display reports.
  • We do not sell or share report data with third parties for commercial purposes.

5. Data Storage & Security

  • Data is stored using secure third-party infrastructure (including Firebase).
  • We take reasonable measures to protect data against unauthorized access.
  • No system is 100% secure, but we aim to follow best practices appropriate for an MVP and pilot environment.

6. Data Retention

We retain data only as long as necessary to:

  • Operate the service
  • Allow operators to resolve issues
  • Meet legal or operational requirements

Operators may request deletion of their data at any time.

7. Your Rights

Depending on your location, you may have the right to:

  • Request access to your data
  • Request correction or deletion of your data
  • Withdraw consent where applicable
